Overview:
The Assistant Secretary of Defense for Sustainment (ASD(S)) is the senior logistics official and principal advisor to the USD(A&S), DEPSECDEF, and SECDEF on logistics and materiel readiness across the Department of Defense. The ASD(S) prescribes policies for logistics, maintenance, materiel readiness, strategic mobility, product support, and sustainment; advises senior leaders and military departments; monitors and reviews relevant programs; and participates in the DoD Planning, Programming, Budgeting, and Execution process within their areas of responsibility. The SCRM-IC is newly chartered and directly accountable to the ASD(S). Its mission is to identify and accelerate the adoption of best practices throughout the Department to address supply chain risks. We are seeking candidates with the following skills and qualities:
- Strong organizational and office management capabilities.
- Experience supporting executive leadership and managing sensitive information.
- Proficiency in coordinating meetings, logistics, and virtual collaboration tools (e.g., MS Teams).
- Excellent written and verbal communication skills.
- Familiarity with DoD correspondence, briefing materials, and task management systems (e.g., CATMS).
- Knowledge of FOIA processes and regulatory compliance.
- Ability to maintain and update websites, SOPs, and policy documentation.
- Experience supporting internal controls, audits, and contract transitions.
Responsibilities:
- Prepare daily briefing materials for senior leaders, including assembly, disassembly, and records management; develop talking points, speeches, and strategic communications content for various engagements.
- Oversee office operations, including supply and equipment management, visitor access, and maintenance of contact lists; manage updates to internal directories, websites, and social media in coordination with relevant teams.
- Coordinate logistics for meetings and leadership engagements, including setup, documentation, and responding to travel-related inquiries; provide guidance on travel regulations and policies.
- Compile and submit regular reports; review and manage legislative proposals and materials; track submissions and ensure compliance with internal policies and deadlines.
- Manage onboarding and offboarding processes for staff, ensuring all documentation and continuity requirements are met.
- Track and manage audit requests and responses; maintain master lists of open recommendations and coordinate with stakeholders to ensure timely resolution.
- Process information requests, maintain accurate records, and manage official records in compliance with applicable guidelines, lead digitization and shared drive clean-up initiatives.
- Review and track relevant policies and directives; ensure regular updates and alignment with organizational priorities, supporting policy review cycles.
Required Qualifications:
- Must be willing to go on-site in Alexandria up to 5 days a week.
- 2+ years’ experience in administrative support and office management.
- 2+ years’ experience preparing briefing materials, talking points, and strategic communications content.
- 2+ years’ experience compiling reports, managing legislative or compliance-related documentation, tracking audit requests, compliance issues, and maintaining records.
